This standard applies to design, software, technological and other design documents executed on magnetic data carriers (MN).

The standard establishes requirements independent of the specific method of exchange and processing for the execution of documents on magnetic media (DM), as well as general rules for accounting, storage, modification and circulation of DM.

1.3. Files (data sets) are data management objects during DM execution. DM is performed in the form of one or more files. Structure, markup of files, formats and content of tags by:

INFORMATION DATA

1. General Provisions

1.1. DM is performed and included in the set of documents in accordance with this standard and the standards of ESKD, ESPD, ESTD and KS AS.

1.2. The following types of MN are used for documentation:

magnetic tapes;

magnetic disks;

flexible magnetic disks.

1.3. Files (data sets) are data management objects during DM execution. DM is performed in the form of one or more files. Structure, file markup, formats and "content tags by:

GOST 25752 - for magnetic tapes 12.7 mm wide;

GOST 28104 - for magnetic tapes 3.81 mm wide;

GOST 28081 - for flexible magnetic disks.

Notes:

1. The structure and markup of files not established by regulatory and technical documents (NTD) are described in the instructions for using the DM ( application 2) or give in it (or other documents of the documentation set) a reference to the corresponding document.

2. If necessary, it is allowed to execute documents on MH without marks.

1.4. A document, depending on its volume and capacity MN, can be recorded on one or several volumes.

Several documents can be written on one volume.

1.5. DMs located on the same MH volume are recorded with the same recording density.

When recording one DM on several volumes, the same type and type of MD are used, as well as the same recording density for all volumes on which the DM is located.

If necessary, it is allowed to execute the document on data carriers of various types, for example, solid text on MN, and figures on paper.

1.6. Each DM is accompanied by an information retrieval characteristic (IPC) in accordance with sec. 4.

1.7. The original signatures of the persons responsible for the development, manufacture, approval and approval of the DM are affixed to the certification sheet (UD), which is performed in accordance with sec. 6.

It is allowed to put down the above signatures in the approval sheet (LU) provided for by the ESKD and ESPD standards.

1.8. Each magnetic carrier with recorded documents (MNZ) must have a label in accordance with GOST 27781.

Examples of label design, its filling and location on the MH are given in annex 3.

1.9. For each MNZ, an accompanying document is performed - a sheet of MNZ in accordance with sec. 7.

1.10. All DM stored and in circulation at the enterprise are subject to accounting. Accounting, storage, reproduction, amendments to the DM are carried out by the technical documentation service (STD) in accordance with sec. eight - 11 and annex 4.

1.11. MNZ should be subject to preventive control to determine the safety of information on MN in accordance with Annex 5.

1.12. The storage conditions of MN and MNZ must comply with the standards established in the relevant regulatory documents for specific types and types of MN.

1.13. The technical and software and information tools used for the implementation and circulation of DM must be put into operation and verified in accordance with their operational documentation, and the MN must pass the input control. Verification and input control are carried out in the order established at the enterprise.

1.14. The transfer of DM to the consumer is carried out in the form of duplicates (copies) according to annex 6.

VN is drawn up in accordance with form 10 of Appendix 9 on sheets of A4 format in accordance with GOST 2.301 or GOST 2.004. When performing VN in the form of typescripts on sheets of A3 format, two forms of VN can be placed side by side. The main inscription is performed in accordance with GOST 2.104 or GOST 2.004.

Documents are recorded in the VN in ascending order of the assigned designations.

4. When performing a secondary DM in its IPH, in the attribute group "External links" indicate the designation of the primary (s) DM from which this secondary DM was obtained. In addition, additional information necessary for unambiguous association with the primary DM may be specified, for example, the identifier of the file containing the primary DM, the change sequence number, and/or the control characteristic of the primary DM.

5. The following attributes are indicated on secondary documents made in the form of typescripts:

the designation of the UD, if the documents are included in the UD;

designation, serial number of change and control characteristics of the primary document (documents) from which the typescript was received, the date of production of the typescript and, if necessary, other attributes characterizing the state of the primary document. In the presence of the specified attributes, the original signatures on the machinograms are not affixed.

Attributes are placed on the first sheet above the main inscription (for A4 sheets) or to the left of it (for A3 sheets and more).

If there is a title page, the designation and change number of the primary document from which this document was received are placed in field 5 (according to GOST 2.105) under the document designation.

6. To organize the accounting and circulation of secondary documents on data carriers that are issued by the manufacturer for the manufacture of products (for example, DM or documents on punched media), it is allowed to include these documents in VN (VN, VN1, VN2, etc.). This VN is produced by the manufacturer with the designation of the product for which these documents are intended. In this case, the following options for including the specified statement in the specification are possible:

1) the enterprise-developer of the product writes the VN in the original specification, while in the "Note" column, against the designation of the corresponding VN, indicate "for ABVG", where ABVG is the code of the manufacturer's organization that developed this VN.

Such a record means that the original VN and the originals of the documents included in it are developed, stored and maintained by the organization whose code is indicated in the "Note" column of the specification;

2) the manufacturer of the product enters the VN in the copies of the specification only at this enterprise. These VNs are not included in the originals and duplicates of the specification, the company-holder of the original is not sent and is not informed about their inclusion in the copy of the specification.

Secondary documents included in these VNs may not be signed (not issued with UDs) if the columns of the main inscription of the VN indicate the name and signature of the person who made them, and the date of manufacture.

It is allowed to include in such VN instructions on the use of the documents specified in the VN and other documents. The instruction is written in the first line of the VN, and in the "Note" column indicate the formats of these documents.

There are other options for accounting for secondary documents, determined by the structure of a particular production and STD.

Appendix 8. NORMAL CONTROL

1. In the conditions of issuing documents in an automated way, including on MN, normative control should be transferred from the final stage of documentation development to the stages of development, configuration and commissioning of software and information tools for automated issuance of documentation.

2. At these stages, the standard controller checks (participates in the development, configuration, commissioning):

1) compliance of the forms of documents (primary and secondary), which can be used in visual form, with the requirements of the NTD;

2) compliance with the software and information tools for automating the design of specific types of products of the norms and requirements established in the NTD for this type of product;

3) the use of established restrictive nomenclature for components, materials, dimensions, profiles, etc.;

4) compliance of software and information tools for editing text documentation with the requirements of standards for the rules for the execution of text documents and others.

3. The normative controller is responsible for compliance with the requirements of NTD in software and information tools for design automation and issuance of documentation on an equal basis with developers.

4. Documents made with the help of software and information tools adopted according to clause 2, as a rule, are not subject to normative control.

5. In cases where the DM is obtained using software and information tools that have not been put into operation, or, if necessary, the standard control of the document at the final stage of its development, the following can be submitted for standard control:

a document that displays the content of the DM in a visually perceptible form (if it is possible to obtain it);

Secondary documents provided for by the instructions for the use of DM, or their fragments.

6. MNZ with the original (original) of the document is not subject to standard control.

At the request of the normative controller, the DM can be read to obtain its control characteristics and compare them with the characteristics specified in the IPKh DM and (or) the MNZ statement.

Appendix 9. FORMS AND RULES FOR FILLING OUT

The application contains the form of the accompanying document of the MNZ (form 2), the forms for accounting and circulation of DM and MNZ (forms 3-9) and the form of the list of documents on data carriers (form 10).

The above forms can be used for manual, semi-automated and automated ways of keeping records and obtaining accounting and accompanying documents.

For the inventory book of accounting for MN and MNZ and for accounting cards for MNZ and DM, the rules for filling out are given.

From the DM accounting card, information about the archival designations of the MNZ, on which copies of the DM are placed (form 5, columns "Archival designation of the MNZ, KK, K"), can be transferred to the MNZ accounting card.

When restoring the original DM (or canceling), it is recommended to delete all information about this document from the statement of the MNZ on which it was located, and make a note about the restoration (cancellation).

Filling out the MNZ accounting card

In the MNZ accounting card (forms 4, 4a, 4b) indicate:

in the column "Archival designation" - the designation assigned to MNZ by the storage service;

in the column "Type of MN" - the code of the type of MN (see clause 5.1 of this standard);

in the column "Inv. N" - registration number of MN in the inventory book of MN and MNZ;

in the columns "Type MN", "Length, capacity MN", "Head. N" - respectively the type, length of the tape in the coil or the capacity of the magnetic disk, serial number MN;

In the column "Storage period" - the date of expiration of the warranty period of storage of MN;

In the column "N of the act, date of write-off" - the date and number of the act, according to which the MN that has become unusable is written off;

in the column "Date of creation" - the date of the first record on the MN;

in the column "Volume ID" - the name of the volume. Within the same enterprise, volume identifiers must not be repeated;

in the column "System code" - the code of the operating system with which the recording was made;

in the column "Reason" - the designation of the document on the basis of which the MNZ is issued;

In the column "Number of runs." - the number of calls to the MNZ during the work specified in the column "Type of work";

in the column "Note" - various additional data.

The remaining columns are filled in in accordance with their name.
